Privacy Policy

Crowded Barrel B-Roll is an internal tool for Crowded Barrel Distillery staff. Staff use it to upload short video clips (“b-roll”) plus two short voice memos describing the clip, and to schedule film shoots so the crew receives a calendar invite. There are no user accounts, no public registration, and no public-facing features.

• Video clips you choose or record in the app.
• Two voice memos per upload — one short context note for the editor, one with spoken tags. When you schedule a shoot you may optionally record a third, explaining what the shoot is for.
• Details of a shoot you schedule — the show type, date and time, duration, who is filming, and any notes you add.
• The name you select from the on-screen staff picker. The picker is populated from an internal Crowded Barrel staff list — you cannot add or change names from inside the app.
• Your work email address, which Crowded Barrel already holds on the internal staff list. You never type it into the app and it is never shown in the app. It is used only to send you a calendar invite when you are on the crew for a scheduled shoot.
• Microphone and camera/photo library permissions you grant your device for recording video and voice memos. The app uses these only while you actively record or pick a clip.
• Standard request logs on our hosting provider (timestamps, IP address, request path) for operational debugging.

The app does not use location services. “Where was this shot?” is a fixed list of names of rooms at the distillery that you choose from — it is a label you pick, not your device's position. The app requests no location permission and reads no GPS data.

We do not collect advertising identifiers, analytics or tracking data, or device identifiers beyond what is standard in HTTP request logs. We do not track you across other apps or websites.

• Your video clip is stored in a private Google Drive that only Crowded Barrel staff can access.
• Your context voice memo is transcribed to text. The transcript is lightly cleaned up and written into a private Google Sheet alongside the clip's entry.
• Your tags voice memo is transcribed and parsed into a short list of tag words. The tags are written into the same Sheet entry.
• A notification with your name, the context, the tags, and a link to the clip is posted into a private Slack channel for the content editor.
• When you schedule a shoot, the details are written into the same private Sheet, the crew are notified in Slack, and a Google Calendar event is created that emails an invite to everyone on the crew.

The raw audio of either voice memo is processed in memory during transcription and is not stored on our servers.

We use a small number of third-party service providers to operate the tool. Your content passes through these providers only as needed to deliver the features above.

• Google (Drive, Sheets + Calendar) — stores video clips, the upload log, the shoot schedule, and the staff list, and delivers calendar invites for scheduled shoots.
• OpenAI — transcribes voice memo audio (Whisper). Audio is sent transiently for transcription and is not retained by us.
• Anthropic — cleans up the context transcript and extracts tags from the tags transcript (Claude).
• Slack — receives upload notifications and delivers editor feedback DMs.
• Vercel — hosts the application and its API.

We do not sell or rent your data. We do not share it with advertisers. We do not use it to train any model.

Video clips, transcripts, and the upload log are kept for as long as they are useful to Crowded Barrel's content workflow. Crowded Barrel may delete entries at any time. There is no automatic deletion schedule.

• You can revoke microphone or camera/library permissions at any time in your device's Settings app.
• You can request that a specific upload of yours be deleted by contacting us at the email below.
• You can ask to be removed from the staff list, which will prevent your name from appearing in the picker in future builds of the app.

This app is not intended for or directed to children. Crowded Barrel staff are 21+ adults.

If we change this policy, we will update the “Last updated” date at the top. Material changes will also be communicated to staff via the team Slack.
